Privacy Policy

Talkstead is a service of Stead Labs, LLC (“Talkstead,” “we,” “us”). This Privacy Policy explains how we collect, use, share, and protect personal information when you visit our website, interact with our voice demo, contact us, or use the Talkstead service.
1. Information we collect
We collect information in three ways: directly from you, automatically when you use the site or service, and from third parties who help us operate.
Information you provide
- Contact details you submit through forms — name, email address, phone number, company name, message contents, and similar fields.
- Voice and conversation data captured by the live demo widget on our website, including audio and a transcribed text record of what you and our AI agent said.
- Configuration information you give us during setup, such as your business hours, intake questions, service area, pricing, and forwarding numbers.
- Billing information you provide to our payment processor; we do not store full card numbers.
Information collected automatically
- Standard log data — IP address, browser type, device type, referring URL, and pages viewed.
- Aggregated, privacy-respecting analytics through Vercel Analytics.
- Error and performance telemetry through Sentry, which helps us diagnose bugs.
- Cookies and similar technologies that keep the site functional and remember basic preferences.
Caller information (Talkstead customers and their callers)
When you are a Talkstead customer, our AI front desk answers inbound calls on your behalf. We process the caller’s phone number, the audio of the call, a transcript of the conversation, and any information the caller provides (e.g., name, address, the reason they called, the appointment they want). This information is processed on your behalf as a service provider and used to fulfill the call and deliver the summary to you.
2. How we use information
- Operate, maintain, and improve the website and the Talkstead service.
- Respond to inquiries, schedule setup calls, send service-related communications, and provide customer support.
- Configure and train the AI agent to handle your specific call flow, intake questions, and service area.
- Generate transcripts and summaries of calls and send them to you by SMS or email.
- Detect, investigate, and prevent fraud, abuse, security incidents, and policy violations.
- Meet legal, regulatory, tax, and audit obligations.
- Send occasional product updates if you have opted in. You can unsubscribe at any time.
We do not sell personal information, and we do not use the contents of your customer calls to train general-purpose AI models.
3. How we share information
We share personal information only with the categories of recipients below, and only as needed:
- Service providers. Vendors that help us run the service — including telephony, transcription, speech synthesis (ElevenLabs), hosting (Vercel), DNS, CDN, and edge security (Cloudflare), error monitoring (Sentry), email and form delivery (Web3Forms), and payment processing (Stripe). Each is bound by confidentiality and data-protection obligations.
- Customers (for caller information). When a caller contacts a Talkstead customer, the call audio, transcript, summary, and structured intake data are delivered to that customer.
- Legal compliance. When required by law, subpoena, court order, or to protect rights and safety.
- Business transfers. In connection with a merger, acquisition, financing, or sale of assets, with continuing protections for personal information.
- With your consent. Any other sharing happens only when you direct us to.
4. Data retention
We retain personal information for as long as needed to provide the service, comply with our legal obligations, resolve disputes, and enforce our agreements. Call audio and transcripts are retained for the duration of your subscription plus a reasonable period afterward, unless you ask us to delete sooner or a shorter period is required by law. Aggregated and de-identified data may be retained indefinitely.
5. Data security
We use administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, alteration, disclosure, or destruction. This includes encryption in transit, access controls, and audit logging. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
6. Your privacy rights
Depending on where you live, you may have rights to:
- Access the personal information we hold about you.
- Correct inaccurate or incomplete information.
- Delete personal information, subject to certain exceptions.
- Restrict or object to certain processing.
- Receive a portable copy of your information.
- Opt out of the “sale” or “sharing” of personal information (we do not engage in either as those terms are commonly defined under U.S. state privacy laws).
- Withdraw consent where processing is based on consent.
To exercise any of these rights, email us at privacy@talkstead.com. We will respond within the timeframes required by applicable law. We will not discriminate against you for exercising any privacy right.
California residents (CCPA/CPRA): You have the rights listed above with respect to personal information collected in the prior 12 months. You may designate an authorized agent to make a request on your behalf.
EEA/UK residents (GDPR): We rely on the following legal bases: performance of a contract, legitimate interests (operating and improving the service), legal obligation, and consent (where applicable). You have the right to lodge a complaint with your local supervisory authority.
7. Cookies and analytics
We use strictly necessary cookies to operate the site and a small set of analytics tools (Vercel Analytics, Sentry) to understand aggregate usage and diagnose errors. We do not use third-party advertising trackers. Most browsers let you control cookies through their settings; blocking cookies may affect how the site works.
8. Children's privacy
Talkstead is intended for businesses and is not directed at children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us information, please contact us so we can delete it.
9. International users
Talkstead is operated from the United States. If you access the service from outside the U.S., you understand that your information will be processed in the U.S. and other countries where our service providers operate. We use contractual safeguards consistent with applicable cross-border transfer requirements.
10. Third-party links
Our site and emails may link to third-party websites and services we do not control. This Privacy Policy does not apply to those services; please review their own privacy notices.
11. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will update the “Effective” date above. Material changes will be communicated through the website or by email where appropriate. Your continued use of the service after changes take effect constitutes acceptance of the updated policy.
